AERF Professional Conferences & Event Support Request Form
Policy & Qualifications:
As a part of our Mission, the AERF may provide financial assistance to qualifying non-profit organizations in support of educational & outreach events and/or travel and meeting expenses for pertinent conference speakers and government personnel who may otherwise be unable to attend professional aquatic conferences due to travel restrictions.  The following Policies and Request Form have been established to assist the AERF in considering requests for approval, denial or modification.  Amounts requested are subject to limits within the AERF annual budget allocations and will be awarded on a prioritized basis as determined by the AERF Board of Directors or its Executive Committee.  

Requesting Organizations responsibilities and/or requirements are as follows:

1.  Organizations receiving direct reimbursements must qualify for non-profit status.
2. Completed request form must be received by the AERF at least 90 days prior to conference/ event (or in reasonable time for planning purposes).
3. AERF will not cover meeting registration fees (if applicable) for participants listed on the request form.  These should be covered in full by the requesting organization.
4. Credit to the AERF in the form of meeting signage, program listings and/or announcements, as may be appropriate, should be provided for these sponsorships.
5. Consideration should be given to providing an AERF representative time on the Conference Program to familiarize attendees with its Mission and relevant topics of interest.  If allowed, AERF requests waiver of registration fees for their representative.
6. Itemized invoicing and copies of related receipts, not to exceed approved funding amount, should be submitted to the AERF within 30 days following the conference.  Pre-payments will not be provided except under special circumstances.

AERF Responsibilities:

1. Requests made by an organizations on the completed form will be reviewed by the Board of Directors and/or its Executive Committee on the merits of its value to its Mission and Strategic Objectives.  Notification of approval, modification or denial by the AERF will be provided within 30 days following receipt.

Consideration will be given as to the level of AERF Sponsorship support provided by the requesting organization and/or its members/participants as to the amount of reciprocal support that will be allowed.
